Getting started with your CRM

Spotler CRM helps businesses manage their accounts, contacts, tasks, and sales opportunities efficiently. This guide is designed for account owners and provides an overview of key features, from navigation and customization to adding accounts and managing contacts. By following these steps, you will be able to set up and personalize your CRM.

Step 1 Navigation menu

The navigation menu in Spotler CRM is divided into two sections:

  • Universal tools: Includes Dashboard, Accounts, Contacts, Tasks, Calendar, and Reports. These tools are always visible.
  • User-specific tools: Includes Sales, Marketing, and Service & Support. These are displayed based on the user's role.

Users can personalize their menu by selecting which tools are visible.

Key Definitions

  • Accounts are the names of the companies and organisations that you deal with. These include your customers, prospects, partners and, if you want to, your suppliers, press publications and analyst organisations. An example account would be a company like BHP Minerals.
  • Contacts are the people who work in your accounts. For instance, you might have a contact called John Brown who works in BHP Minerals.
  • Opportunities are potential sales that you have identified in an account. For example, you might have an opportunity to sell 5,000 widgets to your Account BHP Minerals.
  • Tasks are things you need to do, for example, call John Brown back on 15th August.
  • Activities are records of things that you have done, for example the summary of a telephone conversation with BHP Minerals.

Step 2 Dashboard

The first time you log in, the Dashboard displays pre-loaded demo data, which can be deleted at any time.

  • Help drawer: Click ? HELP for guidance.
  • Notifications: Access alerts via the bell icon.
  • Custom dashboard: Add, remove, or modify widgets.

Search Functions

At the very top of the page, in the blue/grey section, there is a Global search bar that will search across all the data in your CRM. The search will commence as you start to type your search term.

There is also a search box at the top of each of the data tables/grids, e.g. Accounts, Contacts, Opportunities. Using the predictive search feature you can search for any detail within the account by typing a key word in the search box. The predictive search will return a list of any accounts that match your search as you type and these will be filtered the more on the word you type.

Step 3 Add company accounts

An account represents a company or organization, such as a customer, partner, or supplier. You can add accounts individually or import them in bulk.

Step 4 Edit company accounts

To edit an account:

  • Click the Account Name to open it.
  • Click Edit to modify details.
  • Use + Add to update related sections like Contacts, Tasks, and Opportunities.

Step 5 Custom settings

Adjust the CRM settings to fit your business needs.

Available customizations

  • Custom data tables: Select which columns appear in tables.
  • Custom fields: Add additional fields to forms.
  • Custom dropdown lists: Modify selection lists for consistency.

Step 6 Manage contacts

Contacts are individuals linked to an account.

Actions

  • Add contacts: Go to Contacts+ Add → Link to an Account → Fill in details → Save.
  • Edit contacts: Click a contact’s name, modify details, and save changes.
  • Marketing preferences: Mark contacts as Hold to exclude them from campaigns.

Step 7 Tasks, Activities & Opportunities

Track interactions and sales opportunities effectively.

  • Tasks: Set reminders for follow-ups.
  • Activities: Log completed actions.
