Quotations

The Quotations feature allows users to create, download, and send quotations directly from the CRM. This module is integrated with the Opportunities module, enabling users to generate quotations directly from sales opportunities and share them with customers or prospects.

The system includes a customizable template, where the system Administrator can upload your company logo and configure organization details, bank account, and taxation information to standardize all quotations.

On this page you have the following options:

Overview Quotations

Click quotations in the left menu to access the Quotations overview. This page displays all quotations created within the account. Click the date to view the details of a specific quotation.

New Quotation

To create a new quotation, navigate to an open Opportunity, scroll down to the quotations section, and click +Add. The system will automatically generate a quotation for the selected Opportunity and save it under the Opportunity’s documents.

After generating a quotation, you can:

  • View: Displays the generated quotation along with a summary of the record.
  • Download: Saves the quotation as a PDF file on your computer.
  • Send: Opens an email dialog box where you can send the quotation to the contact. The email content can be edited before sending.

All created quotations are saved in the Quotation Documents section within an opportunity. To view a quotation, click on its document name.

Quotations Settings

Before you can use the Quotations module, you have to configure the quotation taxation and template settings. 

Quotations Taxation

To configure taxation details, go to settings, open the tab system settings, and navigate to company settings. Under the tax name field, add details like VAT and tax rate (e.g., 20%).

Quotations Template Setup

To set up a quotations template, go to settings, open system settings, and select quotation templates. Click on default to open the default template.

Properties Tab

On the properties tab, you can name your template.

Structure Tab

On the structure tab, you can format your quotation by dragging and dropping sections into the template. Clicking on a section opens its editing options, allowing you to:

  • Edit text, colors, and fonts
  • Add your company logo
  • Enter organization details and bank account information
  • Set up tax display preferences
  • Adjust color schemes

Once you finish editing, click save.

Page Styles Tab

On the page styles tab, you can configure the margins for your quotations.

To view a comprehensive list of quotations across all accounts, go to settings, open system settings, and select quotations. You can manage your documents in settings under data management and the documents section.
