Lists

This article provides detailed instructions on how to create, manage, and use Lists in the software. It explains how to create Static and Dynamic Lists, how to add contacts to them, and how to use them in campaigns. You can access the Lists module from the main menu under Marketing. Lists overview

From the main menu on the left-hand side, click on Lists under Marketing. The summary table will display any lists already created, including the default newsletter list when you first get started. You can create Static Lists that include all your contacts or a selected group, which you can save, re-use, and edit as needed. You can also create Dynamic Lists where you can set filter criteria that automatically updates the list with any changes to your contacts. For example, if a new customer is added, the list will automatically reflect that.

Create a new list

Click on Add to create a new list. In the new screen, do the following:

  • Give your list a name. For example: Customers since January 1st.
  • Select Static or Dynamic list.
  • Move the toggle button to whether your list should be made Public. If this is switched on, the list is added to the preferences page of the (old) Marketing module. 
  • Move the toggle button to whether you wish to sync to Spotler. If this is switched on, the list will be synced to other Spotler products

Afterward, click on Save.

Static list

Next, click on Add or New List Member to select which contacts, or List Members, you wish to add to the list.

This will open a page, similar to the CRM Reporting tool, where you can filter your contact database using the data fields in your CRM. To do so, click on the tab Account, Contact, or User to see an overview of all available fields. Drag and drop the fields you want to filter on from the tab to the right side of the screen where it says ‘Drop items here’.

In this example, we have filtered using the Account.AddressCountry field with the criteria ‘is one of’ “United States of America”.

Please note

If you want to include all the contacts in your database, simply leave the criteria fields blank.

At the bottom of the page, you will see a box displaying how many contacts match the criteria, along with a preview of the list. You can build up complex segments using multiple criteria filters to drill down on your specific contact data. For example, you might select contacts based in the United Kingdom in the Agriculture, Construction, or Automotive sectors that were added to the CRM on or after January 1, 2025.

There is a toggle button in front of certain fields, such as Account.Sector and Account.CreatedDate in the example above. By switching to ‘OR’, you can ensure that any contact with either of these filters is shown in the results. When kept on ‘AND’, a contact needs to meet all conditions under Selected Fields in order to show up in the results.

Once satisfied with your selection, click Add Contacts. You can continue adding more members to the list or delete members using the same method and then clicking Remove Contacts. To view your list, click Back to List.

Dynamic list

To create a Dynamic list, the process is similar. First, create a new list and give it a name, but select Dynamic for the list type, and click Save.

A new screen will open. Rather than adding contacts to the list, you just set the criteria by clicking on Set list criteria.

In the example above, we have set the criteria to be Account.Sector is “one of” “Technology”. Saving this criteria will mean the list will automatically update to include all contacts in the Technology sector at the time of sending the mailing.
