Tags

In Spotler CRM, you have the options to create and manage tags. To start with this, you go to the Tags module located in the menu on the left. CRM-tags1.png

Tags are a great way to have an overview of certain tasks, accounts, or contacts. Here are some examples of how you can use tags:

Group Contacts by Role (Static Tag)
Manually tag contacts based on their role or title to segment them for targeted outreach.
Example: Group all CEOs, Directors, and Managers under a "Leadership" tag to streamline communication for leadership-focused campaigns.
Auto-Update Leads by Engagement (Dynamic Tag)
Automatically segment leads based on their level of engagement or lead score.
Example: Create a dynamic tag that groups leads into Low, Medium, or High Potential based on interactions, ensuring timely follow-ups.
Automate Campaign Enrollment (Tag + Automation)
Use tags to trigger actions and automate campaign enrollment based on specific criteria.
Example: Automatically enroll contacts with the "VIP" tag into a special offers campaign without manual intervention.

Add tags

To create new tags, click on the blue Add button in the top right of the module.

In the next screen that opens, you fill in the following details:

  • Tag name: give your new tag a clear name
  • Type: choose between Static or Dynamic
    • For static tags, you manually add items to a tag and you can filter by adding fields.
    • With dynamic tags, you need to set tag criteria and matching items will automatically be added to the tag. If you don't set any criteria for the tag to match items with, nothing will go into the tag. When creating a dynamic tag, you need to enter a sync schedule too. Depending on your entry, it will sync the items for this tag.
  • Object name: select the object for this tag to be put on, like Account or Task for example

Tag criteria

As mentioned above, for both static and dynamic tags you need to set certain criteria to find matching items to add. The overview for adding items or setting criteria is essentially the same.

Depending on the selected object for the tag, you will find various available fields to select from. In order to use these, you drag them to the Selected Fields pane on the right. When using multiple fields, an And/Or slider appears under Operator. This way you can further filter your criteria. On the bottom, it now renders a preview of matching items using this criteria, including a total of matching items.CRM-tagFields.gif

For static tags, click on Add items to add this total of matching items to the tag. For dynamic tags, click on Set criteria and it will now automatically add items to this tag when it finds a match and it will continue doing so through the sync schedule set for this specific tag.CRM-criteriaTag.png

Add to tag or create tags within other modules

Within the other modules, like Contacts for example, you also have the ability to make a selection of records. When doing so, a button with More appears. From there you can add this selection to an existing tag or to create a new one including this selection. In this case, it will always be a static tag.

Edit or delete tags

You go into an existing tag by clicking on the name. When hovering over it, you will see that it's underlined and you can click on it. Within the tag, you can click on Edit in the top right of the module, to edit the tag settings such as the tag type or the object. You can also edit the tag items by clicking on Add, or Add items when there are no tagged items yet.CRM-editTag.png

To delete tags, click on More, followed by Delete.CRM-deleteTag.png

Within the tag overview, you can also check the box for one or multiple tags and then click on the red Delete button.
