Data management

This article provides an overview of the Data management tab in the Settings section.

Not every setting is visible for every user

Depending on role, visible modules and product agreement with Spotler, some options may not be visible to all users.

Geolocation

Enable Geolocation for encodin account latitude and longitude.

Export Data

Download a data backup to a CSV file. You can export your data from your CRM at any time using the Export Data option. In the CRM, go to Settings / Data Management and open Export Data. Click the checkboxes to select the tables you wish to download then “Prepare Export”. This will bring you to a screen showing the status of your data export. Once completed, you can download your data as a ZIP file.

Change Account Owner

Change the “owner” of multiple CRM records.

Documents

View and manage the documents you have stored in the CRM. To open the document, simply click on the Document Name.

 

Documents can be stored in your CRM Accounts and Opportunity records. This might be a quotation, Service Level Agreement, meeting minutes, product schedule or maybe a warranty record.

Document Storage Limits

With our Professional plan 5GB is included, and with the Enterprise plan document storage is unlimited. The document size limit for each individual file you add to an Account can be as large as 50MB.

Recycle Bin

The Recycle Bin lets you restore records you may have deleted in error. If you delete a record, it is removed from your CRM system and stored in the Recycle Bin. It will therefore not be visible to users or appear in reports. Administrators can access the Recycle Bin from the Settings, Data Management tab. The Recycle Bin shows the name and type of record, when it was deleted, and by whom. You can restore a record by clicking the Restore check box next to a deleted record, and then press the blue Restore button.

Delete Demo Data

Delete the demo data that initially comes with your CRM.
