Integration: Xero

The Xero integration in Spotler CRM connects Spotler CRM to Xero from Settings > Integrations > Accounting Software , so you can synchronise Xero customers with CRM accounts and create or update Xero records from CRM accounts and opportunities.

What does the Xero integration do?

The Xero integration links customer and sales information between Spotler CRM and Xero.

After the integration is connected, Spotler CRM can show Xero information on CRM account records, export CRM accounts to Xero, and create draft invoices or quotes in Xero from opportunities.

How do you connect Spotler CRM to Xero?

You connect Spotler CRM to Xero from the accounting software integration settings in Spotler CRM.

  1. Go to Settings.
  2. Open Integrations > Accounting Software.
  3. In the Xero section, select Setup Xero.

How do you configure the Xero integration?

You configure the Xero integration from the connected Xero integration page in Spotler CRM.

Select Settings in the Xero integration panel to open the setup options.

Set Phone Field Selects which CRM contact phone field is used when data is sent to Xero.
Set Invoice Status Selects the status used for invoices created in Xero from Spotler CRM.
Set Quote Status Selects the status used for quotes created in Xero from Spotler CRM.
Choose Opportunity Export Type Selects whether opportunities are exported to Xero as invoices or quotes.
Choose Invoice Reference Field Selects which opportunity field is used as the invoice reference value in Xero.

How does Spotler CRM manage Xero accounts?

Spotler CRM can link CRM accounts to Xero customers and show Xero information on the CRM account page.

When an account is linked to Xero, the Xero section on the CRM account page can show account balance, last invoice date, total sales, and overdue amount.

The account page can also show actions for viewing the linked record in Xero or updating Xero with CRM account information.

How do you export a CRM account to Xero?

You export a CRM account to Xero from the account page when the account is not already linked to a Xero customer.

  1. Open the CRM account.
  2. In the Xero section, select the account contact that must be used as the main contact for the new Xero record.
  3. Select Export to Xero.

After the export is complete, Spotler CRM links the CRM account to the Xero customer record.

How do you create a draft invoice or quote in Xero?

You create a draft invoice or quote in Xero from a Spotler CRM opportunity.

The available button depends on the opportunity export type configured in the Xero integration settings.

  1. Open the opportunity in Spotler CRM.
  2. Check that the opportunity contains the information you want to send to Xero.
  3. Select Create Draft Invoice on Xero or Create Draft Quote on Xero.

  4. Select the revenue type from Xero.

After the record is created in Xero, the Xero reference can be used from the opportunity in Spotler CRM.

How do you reconnect or remove the Xero integration?

You reconnect or remove the Xero integration from the connected Xero integration panel in Spotler CRM.

Select Reconnect when the connection needs to be authorised again. Spotler CRM opens the Xero authorisation flow, where you can log in to Xero and confirm access again.

Select Remove Integration when you want to disconnect Spotler CRM from the connected Xero organisation.

What is the result of using the Xero integration?

After the Xero integration is connected, Spotler CRM can use Xero customer data with CRM accounts and create draft sales records in Xero from CRM opportunities.

Users can manage linked customer information from the CRM account page and create Xero invoices or quotes without re-entering the same opportunity data manually.
